One rule holds across all five rows: the invoice should carry the estimate number, the amount the customer approved, and every supplemental with the time it was approved. Some states also require sublet work to be identified as performed by another shop rather than by you, so check your local requirements before you write it up as your own labor. Part condition, fees and the RO details

  • Parts are billed as new, used, rebuilt or reconditioned. Many states require replaced parts to be identified by condition on the invoice, and some require that the old part be offered back, with core-exchange and warranty-exchange units commonly excluded from that right — check your local requirements. Put the condition in the description where it cannot be missed: "Remanufactured alternator (reman) — 12-month supplier warranty", not "Alternator". A customer comparing your ticket against a dealer quote will ask what the part was, and the answer should already be on the page.
  • Pay type changes who the invoice is addressed to. Customer-pay, warranty-pay and internal are three different documents out of the same bay. Warranty-pay is billed to the manufacturer or the third-party contract administrator and carries the claim or authorization number, the approved operation time and the approved rate, which is often not your posted rate. Internal work is written at your cost for your own books. Bill the payer rather than the driver, and put the claim number where a clerk can find it in two seconds — rename a spare field to "Claim #" and it prints as one.
  • Book time is the time that was quoted, and shared jobs overlap. The guide time is what the customer approved and it does not move because the technician beat it or the bolt was seized. When two operations share the same teardown — alternator and belt, pads and caliper — the guide's overlap comes out instead of adding both times whole, and the deduction belongs on the line so the total reads as arithmetic rather than a discount you decided to give. Some states have disclosure rules for labor billed at a flat rate rather than at actual time, so check your local requirements.
  • Supplies, disposal and state fees each get a name and a number. Figure shop supplies on labor you actually bill, after any credit, and print the basis: "Shop supplies, 5% of billed labor — $16.68". Tire and battery disposal, hazardous waste, environmental and inspection fees go on their own lines at the amount charged, not folded into a percentage nobody can check.   • The RO details and the authorization trail belong on the invoice. RO number, full VIN, tag, odometer in and out, and the estimate the customer approved with the time and method of every supplemental: "Est. EST-2210 approved by phone Aug 18, 10:12 am · Supplemental for battery approved 2:40 pm." Written estimates before work starts and fresh authorization once a job passes the approved amount are regulated in many states with differing thresholds — check your local requirements. None of those are standard invoice fields, so rename them: every label here is editable, which turns "Invoice #" into "RO #" and the spare fields into VIN, tag and odometer. Money taken up front for a special-order part or a machine-shop job goes in as a deposit, deducted from the final balance.

Every number here traces back to something the customer approved. Shop supplies are figured on the $333.50 of labor actually billed rather than on the diagnostic hour that was credited back, and disposal stands as its own $6.00 line. Both credits go in as a single fixed-amount discount with the label renamed to name them, because the discount field takes one figure. The tax is a fixed amount for a related reason: the tax rate applies to the whole invoice after the discount, so parts-only tax has to be worked out on your taxable lines and typed in as $42.84 rather than entered as 7% — here that is 7% of the $612.00 in parts, with the core left out because it nets to zero on this ticket. Which of parts, labor, supplies, core charges and disposal fees are taxable varies by state, and plenty of states tax labor too, so set what applies to you and check your local requirements.

What is book time, and what happens when two jobs overlap?

Book time — also called flat rate or guide time — is the labor time a published labor guide assigns to an operation. Shops quote and bill that figure so the labor cost is known before the hood is open, and it holds whether the technician beats it or fights it. When two operations share the same teardown, the guide's overlap comes out instead of billing both times whole: the alternator, the belt and the battery on one ticket are not simply added up. Print the deduction on the line. Some states have disclosure rules for labor billed at a flat rate rather than actual time, so check your local requirements.

Can I hold the vehicle until the invoice is paid?

Most states provide some form of possessory or mechanic's lien for work performed on a vehicle, but the conditions are narrow and differ substantially: valid written authorization, notice to the owner and any lienholder, sometimes registration or filing, sometimes limits on what storage you can charge. This is not legal advice and it is not something to work out at the counter with a customer in front of you — check your local requirements and your own terms. How do I get the RO number, VIN, odometer and tag onto a generic invoice?

Rename the fields. Every label is editable, so "Invoice #" becomes "RO #", and the billing block carries year, make, model, the full 17-digit VIN, tag, and odometer in and out. The same trick gives you "Claim #" on warranty work and your shop registration or license number in the header. Parts are taxable here and labor is not. How do I bill that?

Enter the parts tax as a fixed amount rather than as a percentage. Tax here is applied to the whole invoice after any discount, so a percentage would land on your labor as well: work the tax out on your taxable lines, type that figure in, and keep parts, labor, supplies and core charges on separate lines so anyone checking it can follow the arithmetic. Which of those are taxable varies by state — plenty of states tax repair labor, and core charges and shop supplies are treated differently again — so check your local requirements before assuming labor is exempt.

How do I write up warranty work or a customer-supplied part?

Warranty-pay: bill the administrator, quote the claim or authorization number, use the approved operation time and the approved rate rather than your posted rate, and keep it off the customer-pay ticket entirely. Customer-supplied part: your call whether you take the job, and plenty of shops decline. If you do, bill your labor as usual, list the supplied part at zero with its source named, and state on that line that the labor is warranted and the part is not, so the position is agreed in writing rather than discovered when it fails.
