Refrigerant, maintenance plans and equipment lines

  • Refrigerant: quantity × rate, always. "R-410A — 2 lbs × $95" survives scrutiny; "refrigerant — $190" invites a phone call. The pound price includes your recovery gear, certification and the cylinder riding in the truck.
  • Maintenance plans are recurring revenue. "Comfort Club — spring & fall tune-ups, priority service — $16/mo" or one annual line. Billing the same client on a schedule is its own craft — the recurring invoices guide covers cadence, numbering and wording.

Should I charge a diagnostic fee?

Yes — the diagnosis is the skilled half of the job. The wording that keeps clients happy: "applied to the repair if you proceed", written right on the line.

How do I bill refrigerant?

Quantity times a per-pound rate, on its own line, after the client approved the top-up. Fold it into a lump sum and it becomes the number that gets questioned.

How do maintenance agreements appear on invoices?

Either a monthly recurring invoice ("Comfort Club — $16/mo") or one annual line at renewal. Then let every covered visit show a visible member discount — that line is why plans renew.

Is charging more in July legitimate?

Peak-season and after-hours premiums are normal — as named lines the client heard on the phone ("Emergency call-out, holiday weekend"). Quietly inflating other numbers is what feels like gouging.

Do I put my EPA certification on the invoice?
