The lines that make a deposit invoice clean
- State the percentage and the base. "Deposit — 50% of $2,400 project total" answers the two questions every client asks before paying: how much, and of what. A bare "Deposit — $1,200" invites the reply that delays it.
- Reference the estimate it comes from. "Per accepted estimate EST-042, Aug 20" ties the money to the scope the client already said yes to. How the two documents hand off is covered in invoice vs estimate.
- Give the deposit its own due date. A deposit due "within 7 days" — not on your usual Net 30 — because the start date depends on it. Say what the payment unlocks: "work is scheduled once the deposit is received."
- Show what remains. One line in the notes — "remaining balance of $1,200 invoiced on completion" — and the final bill becomes a confirmation instead of a surprise.
- Refundability lives in your agreement. If the deposit is non-refundable or partially refundable, that comes from your contract and local rules — the invoice just mirrors the wording. When in doubt, check your local requirements.

Deposit invoice FAQ
Is a deposit invoice a real invoice?
Yes — a standard invoice whose line item happens to be a deposit. It gets its own number in your normal sequence, a due date, and payment details, exactly like any other bill you send.
How much should the deposit be?
30–50% is the common range for project work — enough to cover materials and commit both sides. The reasoning by project type is in the deposit guide; whatever you choose, print the percentage on the line.
How do I show the deposit on the final invoice?
List the full scope, then enter the deposit in the generator's Amount paid field — the PDF shows the total, the deposit already received, and the remaining balance due as its own line.
Do I charge tax on a deposit?
It depends on what you sell and where — some jurisdictions tax prepayments, others tax on delivery. This page cannot answer that for your situation; a local accountant can, and the answer is usually quick.
Can I make the deposit non-refundable?
That is a contract term, not an invoice trick: put it in the agreement the client signs, and let the invoice mirror the wording ("non-refundable scheduling deposit"). Local consumer rules vary — check yours before relying on it.
