Privacy Policy

The short version

• The invoice details you type in are processed live — to calculate totals and generate your PDF. When you download a PDF, a copy of that invoice is saved to a private history so you can restore it later; nobody but you can see it.
• You do not need an account. If you create one, we collect your email address to operate it — typed by you, or received from Google/Facebook if you sign in that way.
• We use Google Analytics to understand how the site is used, and error monitoring to keep it working.
• We do not sell personal information, and we do not send marketing emails.

Your invoice data

As you type, the invoice details you enter (your business information, your client's information, line items, notes and terms) are sent to our server over an encrypted connection (HTTPS) so the editor can calculate totals live. While you are only typing, nothing is saved on our side — the working draft autosaves in your own browser.

When you click "Download Invoice PDF", we generate the PDF and save a copy of the invoice — its details and the PDF file — to a private Downloads list, tied to your account or, for guests, to a private cookie in your browser. This exists so you can re-download and restore past invoices. It is never public and never listed anywhere, and we do not build profiles from it, sell it, or use it for any purpose other than showing it back to you. Your Downloads list also has its own secret share link, so you can open it on another device or show it to someone you choose: only people who have that link can see the list, and you can turn the link off at any time in settings. To have your downloads or account deleted, email hello@invoice-to-pdf.com and we will remove it.

Your account and dashboard data

If you create a free account and use the dashboard, we also store what you put there: your business details and logo, the clients you save (their names, addresses and contact details), and the invoices you create, including their status. This exists only so the dashboard can show it back to you and fill in your next invoice. We do not sell it, share it with third parties, or use it for advertising. If you invite team members to your business, they see the same business data. When you use Send on an invoice, we email your client a short notice through our email provider, using the address you saved for that client. You can delete clients and invoices yourself in the dashboard; to delete your whole account, email hello@invoice-to-pdf.com.

What we do collect

Usage analytics. We use Google Analytics 4 to see aggregate usage: which pages are visited and product events such as "an invoice download happened". These events never include the content of your invoice. Google Analytics sets cookies and processes your IP address and browser information under Google's privacy policy.

Server logs and error monitoring. Like almost every website, our server keeps standard technical logs (such as IP address, request time and URL) for security and reliability. If something breaks, our error-monitoring service (Sentry) records technical details of the error so we can fix it.

Accounts. If you create an account, we store your email address. Signing in with Google or Facebook also gives us the basic profile details the provider sends (such as your name and profile picture), which we keep to operate the sign-in. We do not send marketing email — only transactional messages like sign-in links.

Cookies and local storage. We set an essential session cookie (used for security, e.g. protecting the download form against forgery) and a "remember me" cookie that keeps you — or your guest history — signed in for up to 14 days. Google Analytics sets its own cookies. Your light/dark theme preference and your working invoice draft are kept in your browser's local storage; the draft autosave never leaves your device.

Bot protection. Email sign-in is protected by Google reCAPTCHA v3. When you choose to log in with email, Google scores that request to block automated abuse. See Google's privacy policy and terms of service.

Where data is processed

Our servers are hosted with Amazon Web Services in the United States, so requests to the site are processed there. Error reports are processed by Sentry in the European Union.

Third-party services

• Google Analytics — usage analytics.
• Google reCAPTCHA — bot protection on email sign-in.
• Sentry — error monitoring.
• Amazon Web Services — hosting and file storage.
• Our email provider (Neo) — delivery of transactional email such as sign-in links.

These providers process data on our behalf; we do not sell your information to anyone.

Your choices

You can use the invoice generator without providing any personal information about yourself. You can block or delete cookies in your browser settings, use private browsing, or install Google's Analytics opt-out add-on — the generator works either way. If you have any question or request about your data, contact us and we will help.

Children

The service is a business tool and is not directed at children under 13. We do not knowingly collect personal information from children.

Changes to this policy

If we change this policy, we will update this page and its effective date. Material changes will be visible here before they take effect.
