Materials, crew labor and weather days
- Materials are a priced line, not a receipt copy. "Mulch, 12 yd, delivered & spread — $540" — your price includes sourcing, delivery and handling. Unlike pass-through software costs, marked-up materials are the industry norm; what matters is one agreed number, not a visible markup percentage.
- Crew labor reads as one line per task. "Bed renovation — crew of 3, 5 hrs — $675" beats three separate per-person lines; the client is buying the outcome, not the roster.
- Weather days move the date, not the price. A rained-out cut slides to the next visit; note it in the description ("Aug 12 visit moved to Aug 14 — rain") so a monthly invoice with odd dates explains itself.
- Disposal and haul-away are real costs. "Green waste haul-away, 1 load — $85" — name it, or it silently eats the margin.

Landscaping invoicing FAQ
Do I bill per cut or per month?
Bill monthly, listing each dated cut on its own line — one payment, full transparency. Flat seasonal pricing smooths income but puts rained-out weeks on you; per-cut listing keeps the invoice matched to work actually done.
Should the invoice show my markup on plants and mulch?
No — show one agreed price per materials line ("delivered & spread"), not your cost plus a percentage. The client approved the number in the quote; the invoice repeats it.
Do I charge for estimates and site visits?
Routine mowing quotes: free, it's sales. Design consultations and detailed install plans: many landscapers charge a fee and credit it against the job if the client proceeds — "Design consultation (credited on acceptance) — $150".
How do I invoice a big install — all at the end?
No: a deposit that covers materials before work starts (commonly 30–50%), the balance at completion. On the final invoice, show the deposit as Amount paid so the balance due is unambiguous.
A commercial property wants Net 30 — take it?
Commercial accounts run on terms; Net 30 is normal and worth the steady volume. Put the due date on the invoice, send it the same day the month closes, and follow up on schedule.
