Deposits, retainers and the balance due
- Booking deposit first. Most photographers take a deposit of 25–50% to hold the date — invoice it the day the client says yes, because the date is off the market from that moment.
- Final invoice before delivery. For weddings and events, common practice is the balance due on or before the event date — and the gallery is delivered after the invoice is settled.
- Show the deposit on the final invoice. Enter what was paid in the generator's Amount paid field: the client sees the full package value, the deposit already received, and the exact balance due — no mental math, no "didn't we already pay?" email.
- Mini-sessions flip the order. Short slots are usually paid in full at booking; the invoice doubles as the booking confirmation.

Photography invoicing FAQ
Do I invoice before or after the shoot?
Both, usually: a deposit invoice at booking, the balance invoice before the event or before gallery delivery. For small commercial jobs a single invoice after delivery with Net 15 terms is common.
How do I show a non-refundable retainer?
Call it what your contract calls it — "Non-refundable booking retainer" as the line description — and deduct it on the final invoice via Amount paid. Whether it is truly non-refundable is a contract matter, not an invoice one.
Should prints and albums be on the same invoice as the shoot?
If they're part of the package, yes — separate lines, one document. Orders placed months later work better as a fresh invoice so the original stays matched to its payments.
What about sales tax on prints?
Rules vary a lot by state and country — physical products are often taxed where digital delivery is not. Confirm your case with a local accountant, then set the rate once in the generator's tax field.
A destination wedding paid in euros — can the invoice match?
Yes — pick the currency in the generator (159 supported) and the whole invoice formats correctly. Agree one currency per booking and keep the deposit and balance in it.
