How consultants bill — and what the line item says

Model Line item looks like Best for
Hourly "Advisory sessions, July — 12 hrs × $180" Ad-hoc advice, unclear scope
Fixed project fee "Market entry analysis — flat fee — $7,500" Defined deliverable, agreed upfront
Milestones "Phase 2 of 3: stakeholder interviews complete — $4,000" Long engagements, spread payments
Monthly retainer "Fractional CMO retainer — August 2026 — $3,500" Ongoing advisory relationships

Reimbursable expenses go on their own lines, at cost, with what-and-when in the description ("Travel — client workshop, Aug 5–6 — $412.80"). Mixing a retainer line with expense lines on one invoice is standard.

Invoicing enterprise clients without the back-and-forth

  • Get the PO first. Large companies often cannot pay an invoice that lacks a purchase-order or project reference — ask for it before you invoice and put it prominently on the document (the notes field, or the invoice number line: "INV-0031 / PO 44807").
  • Confirm the AP inbox. Your day-to-day contact approves the work; a different inbox pays it. Send to both.
  • Accept their cycle, control your dates. Net 30 is common with enterprises; put the explicit due date on the invoice and calendar the reminder email for a few days before it.
  • Mirror the SOW. Line items that quote the statement of work word-for-word get approved without a call.

Consultant invoicing FAQ

Do I bill for discovery calls?

Set the rule before the engagement: many consultants keep the first conversation free and bill scoped discovery as its own line or phase. The invoice just reflects what was agreed.

How do I invoice a retainer plus extra work?

Two lines on one invoice: the retainer for the month, then the out-of-scope work as hourly or fixed lines. Clean to read, easy to approve.

Should expenses include receipts?

Follow the engagement terms — enterprises usually want receipts for reimbursables. Keep them filed and reference the expense clearly on the invoice line.

A client paid half upfront — how do I show it?

Add an Amount paid line in the generator: the invoice shows the full engagement value, the payment received, and the remaining balance due.

What currency do I use for international clients?

Whatever you agreed — the generator supports 159 currencies with correct formatting. Keep the whole engagement in one currency.
