Prep, paint and the lines that justify the price

  • Name the prep — it is why the finish lasts. "Patch, sand & spot-prime walls; caulk trim gaps — $240" — prep is invisible in photos and huge in hours. A named line is how clients see what the cheap quote skipped.
  • Paint and sundries: at cost or included — say which. "Paint: Sherwin-Williams Duration, 5 gal @ $62 — $310" when billed at cost, or fold it into the room price — either works, but write which in the notes so the comparison shopper compares fairly.
  • Protection is work. "Mask, drape & floor protection; daily cleanup — $150" — the drop cloths and tape are labor hours, not a favor.
  • Color and coat changes are new lines. The client who picks a deeper color mid-job bought a third coat — add "Change order" lines as they happen and nothing needs renegotiating at the end.
  • Deposits on exteriors and big interiors. 30–50% covers paint and secures the slot in the season — the deposit guide has the wording; the generator shows it deducted with a clear balance due.

Every line matches the estimate the client signed except the change order — which was added the day it happened, so the final number is a confirmation, not a surprise.

Painting invoicing FAQ

Should I bill by the room, the square foot or the hour?

Match how you quoted: rooms for interiors, square feet for exteriors, hours for touch-ups. Mixing models on one invoice is normal — one line each, clearly labeled.

Do I list paint separately from labor?

Either works. Billing paint at cost with the brand named reads as transparent; including it in the room price reads as simple. Pick one, say which in the notes, and stay consistent within the job.

Can I charge for prep work?

You already do — the question is whether clients see it. A named prep line explains your price against the lowball quote that skips sanding and priming, and protects you when the finish is judged in two years.

The client changed the color mid-job. Now what?

A change-order line dated the day it happened: "Added: color change after first coat — $140". Agreed in a text message, invoiced as its own line — never silently folded into the original room price.

How big a deposit should I take?

30–50% on exteriors and multi-room interiors — it covers the paint order and books the crew. The invoice then shows it as Amount paid with the balance due, so the final bill needs no explaining.
