Supplies, add-ons and the extras clients approve

  • Add-ons get their own lines. "Inside oven — $35", "Inside fridge — $30", "Interior windows — $45". Clients approve extras when they can see them; a silently raised total reads as a mistake.
  • Supplies: only if you agreed to bill them. Most cleaners fold consumables into the rate. If a client wants special products (or you stock their supplies), list them at the agreed price: "Eco-certified supplies restock — $28".
  • First visit priced separately. The first clean of a new recurring client is usually a deep clean at its own price — put "First visit — deep clean" on the line so the cheaper recurring rate that follows makes sense.
  • Lockout and late-cancellation fees belong on the invoice only when your agreement names them: "Lockout fee — crew on site, no access (per service agreement) — $70". The late-fee rules are the same: agree first, then bill.

Cleaning invoicing FAQ

Do I invoice per visit or once a month?

Residential recurring clients: monthly, with each visit dated on its own line — one payment for them, a clear record for you. Commercial accounts almost always expect monthly invoicing on terms. One-off jobs: invoice on the day, due on receipt.

Should I charge for cleaning supplies?

Fold ordinary consumables into your rate — itemizing $3 of spray reads petty. Bill supplies separately only when the client asked for specific products or you restock their own inventory, at a price agreed up front.

A client cancelled at the door. Can I invoice a fee?

Only if your service agreement names a lockout or late-cancellation fee. Then invoice it promptly, reference the agreement on the line, and keep the amount exactly what was agreed.

Is house cleaning taxable?

It depends on your state or country — some tax residential cleaning, some only commercial, some neither. Confirm with a local accountant, then set the rate once in the generator's tax field and it applies automatically.
