Tear-off, decking surprises and insurance work

  • Tear-off and disposal are their own line. "Tear off two layers, haul-away and dumpster — $1,850" — the labor and the landfill are real costs, and burying them makes your square price look higher than the competitor who lists them separately.
  • Price the decking before you open the roof. Put the unit price in the proposal ("$95 per 4×8 sheet, if rot is found"), then invoice only what you replaced, with the count. That single habit turns the most common roofing argument into arithmetic.
  • Name the accessories that fail first. "Ice & water shield at eaves and valleys, synthetic underlayment, new drip edge, pipe boots — included" belongs in the description: it is exactly what separates your bid from the cheap one.
  • Insurance jobs: mirror the adjuster's scope. When work is paid by a claim, keep your line items matching the approved scope, and show the homeowner's deductible as its own line — the carrier pays the rest. Supplements for anything the adjuster missed go on as clearly labeled additions, not as a bigger original number.
  • Deposits and warranty. Material deposits are normal on a re-roof — the deposit guide has the wording, and the generator shows it deducted with a clear balance due. Put your workmanship warranty and the manufacturer's warranty in the notes; they cost nothing and close jobs.

The decking line names both the count and the reason, so the one number that was not in the proposal explains itself. The deposit shows as paid, and the balance is the only figure the homeowner has to act on.

Should I invoice per square or per square foot?

Per square — the trade's unit of 100 sq ft — because that is how you bought the material and how the homeowner's other bids read. Show the count and the rate so the math is checkable.

How do I bill for rotten decking I could not see?

With a unit price agreed before the job: so many dollars per sheet, if found. Then the invoice line is a count, not a renegotiation. Photos of the rot in your notes or attached email end the conversation early.

How does an insurance claim change the invoice?

Keep your line items aligned with the adjuster's approved scope, and list the homeowner's deductible as its own line so everyone sees who pays what. Anything outside the scope is a labeled supplement. Rules vary by state and carrier — your contract and local law govern, not the invoice.

Is it normal to take a deposit on a re-roof?

Material deposits are standard on full replacements, with the balance due at completion. The generator records the deposit as Amount paid and shows the remaining balance, so the final invoice needs no explaining.

Do I put my license number on the invoice?
