Labor, parts and the service call

You're billing Line item looks like Worth knowing
Service call "Service call — includes first 30 min on site — $65" Covers the drive and the diagnosis; waived on big jobs if you choose
Labor "Drywall patch & paint, hallway — 2.5 hrs × $70" Task + hours + rate; one line per distinct task
Parts & materials "Parts: fill valve, supply line, caulk — $38.40" One agreed number — itemize in the description, not the math
Flat-rate job "Ceiling fan install (fixture supplied by client) — $150" Common repairs priced by the job beat hourly haggling

Separating labor from parts isn't bureaucracy — it's how the client sees your $70/hr as fair instead of wondering why a faucet "cost" $250. What belongs on every invoice is in this checklist.

Small jobs, same-day pay and paper trails

  • Invoice on the doorstep. Fill the invoice on your phone while packing up, download the PDF, text or email it before you leave — jobs paid on the spot don't become jobs chased for a month. More tactics in getting paid faster.
  • Cash still gets an invoice. Mark it paid in the notes ("Paid in cash, Aug 21 — thank you") — your record for taxes, the client's proof for their landlord or insurance.
  • Deposits for multi-day work. A deck repair or bathroom refresh warrants 30–50% upfront for materials; show it deducted on the final invoice with Amount paid → balance due.
  • Photos close disputes. Reference before/after photos in the description ("photos sent Aug 21") — the invoice stays clean, the evidence stays attached to the conversation.

Three tasks, parts as one number, settled before the truck left the driveway. If a client pays later instead, put the due date on the document — terms basics are in the payment terms guide.

Handyman invoicing FAQ

Should I charge a service call fee?

Most pros do — it covers the drive, the ladder off the truck and the diagnosis. Name it on the invoice and say what it includes; many waive it when the job goes ahead, which the line can also say.

Do I show my markup on parts?

No — show one agreed parts total with the items named in the description. Sourcing, warranty and the trip to the store are part of that price; a visible receipt-plus-percentage invites nickel-and-diming.

The client paid cash on the spot. Do they still need an invoice?

Yes — marked paid. It's your income record for taxes and their proof of a completed, paid repair for landlords, insurers or resale.

Hourly or flat rate for common jobs?

Flat rate for jobs you've done fifty times (fan install, faucet swap) — clients love certainty. Hourly for open-ended fix-it lists. Both can sit on one invoice as separate lines.

What if extra problems turn up mid-job?

Stop, show the client, agree the addition, then add it as its own line ("Additional: replace corroded shutoff valve — $85"). Never fold surprises silently into an existing number.
